You will:

  • Manage the full cycle of document flow, including preparation of contracts, service acts, and documents, ensuring accuracy and timely execution;
  • Coordinate digital document signing processes and collaborate closely with Accounting to verify data in financial systems;
  • Organize and execute corporate events (team buildings, trainings, offsites) from concept planning to logistics and post-event feedback collection;
  • Manage event budgets, work with vendors, obtain invoices, and coordinate expense approvals with the Finance team;
  • Support corporate culture initiatives, including employee recognition, birthday greetings, and preparation of welcome packs for new hires;
  • Oversee office operations, including interaction with coworking providers, access management, and monitoring of service usage limits;
  • Coordinate logistics and shipments, maintain accurate tracking records;
  • Manage travel arrangements and calculate per diems;
  • Process HR-related requests in Jira, including onboarding, offboarding, and employment status changes;
  • Ensure smooth cross-functional communication with HR, IT, Payroll, and Administration teams to support operational efficiency.

Requirements:

  • BSc or MSc degree, preferably in Management, Economics, Finance, Business Administration, or a related field;
  • Fluent Ukrainian and at least intermediate level of English (both written and spoken), with the ability to prepare business documentation and support internal communications in both languages;
  • Basic understanding of financial processes and tools, including experience working with accounting systems (1C), data verification, cost allocation, and budget control;
  • Experience in administrative, operational, or HR support, including document management, vendor coordination, event organization, and cross-functional collaboration with different departments;
  • Excellent personal qualities – structured thinking, strong attention to detail, proactivity, well-developed communication skills, emotional intelligence, and the ability to work effectively in a multitasking environment.
